JOB SUMMARY
The purpose of this position is to provides assistance to Facility Management team in completion of multiple functions of building operations and maintenance for a facility, campus or portfolio of buildings.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Act as secondary point of contact for both office operation (Cleaning, Reception Service, Helpdesk and Mail Service, Storage Service, Pest Control and Indoor Plant Service) and Business Partner service (Liaising team building and event planning).
Organize and execute community events such as Xmas, Chinese New Year, National Day, Diwali, Hari Raya, etc.
Monitor and manage the budget for office operations and expenses.
Manage other 3rd party service provider on behalf on the Client, manage SOP & SOW content
Administrative support of regular services
Support special projects such as new office setup, move-in coordination and etc.
Identify operation risk and seek solutions
Management of Regular Front Desk/Reception Service/Service Deck/Mail Room
Commence improvement plan, enhance user experience
EDUCATION AND EXPERIENCE
Minimum Diploma in a relevant qualification. Minimum of four years of relevant experience.
COMMUNICATION SKILLS
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
FINANCIAL KNOWLEDGE
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
REASONING ABILITY
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS AND ABILITIES
Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet.
